TOOLPROWL / CONSULTANT WORKFLOW

Spreadsheet, Systeme.io, or HubSpot: which fits a solo consultant?

Three tools, three different jobs. A spreadsheet tracks. Systeme.io combines pages and email. HubSpot organizes a real pipeline. The right one is the smallest system that reliably shows every open inquiry, the last response, and the next action.

Comparison updated September 2026. This is workflow guidance based on provider documentation, not hands-on testing or a promise of results.

The options at a glance

OptionBest whenWatch out for
SpreadsheetYou handle a manageable inquiry volume and will keep one row current after every conversation. No reminders, no shared history, and it breaks the moment updating it feels optional.
Systeme.ioYou need a public inquiry page plus permission-based email follow-up in one subscription.Email sending requires an authenticated custom domain. Paid tiers add cost as contacts and features grow.
HubSpot CRMYou want real pipeline stages, tasks, and contact history starting free.Paid hubs, seats, and contact growth raise the bill. It is a CRM, not a page-and-email bundle.

Option 1: a spreadsheet

Who it's for: one consultant with a small lead list who will actually maintain it. One row per inquiry, with date, source, status, last response, one specific next action, due date, and outcome.

Trade-off: free and flexible, but it only works with a daily review habit. Miss a day and follow-ups start slipping silently.

Option 2: Systeme.io

Who it's for: consultants who need both a public page for inquiries or resources and a way to send requested follow-up emails, without stitching two subscriptions together.

Trade-off: the free plan has real limits, and email sending needs an authenticated custom domain, which can carry its own cost. It is an all-in-one, not a specialist CRM.

Read the Systeme.io fit and setup check. That guide walks through free-plan limits, email prerequisites, and when manual follow-up is still the better choice. It contains an affiliate link; ToolProwl may earn a commission from a qualifying purchase.

Option 3: HubSpot CRM

Who it's for: consultants who want proper contact records, deal stages, and task history from day one, with a free tier to start.

Trade-off: the free CRM is genuinely useful, but the platform monetizes growth. Paid hubs, extra seats, and rising contact volumes each add to the bill. Check current pricing before building your workflow around paid features.

Read the HubSpot CRM review for consultants. The HubSpot links on this site are non-affiliate; ToolProwl earns nothing from them.
