TOOLPROWL / SOLO CONSULTANT DECISION

Spreadsheet or CRM for a solo consultant?

You do not need a CRM merely because you have clients. You need a reliable way to see every open inquiry, the last response, and the next action. Use this 60-second check before moving data or adding a subscription.

Decision guide updated September 8, 2026. This is workflow guidance, not a hands-on review or a promise of more leads.

The 60-second check

If this is true todayStart here
You work alone, handle a manageable number of inquiries, and can update one shared row after every conversation.Keep a spreadsheet and make the next action mandatory.
You miss follow-ups because there is no dependable review habit.Test the free tracker and a daily queue before replacing your tools.
Several people reply, ownership is unclear, or history is split across inboxes.Compare a CRM using sample records and your real handoff steps.
You need a public inquiry page plus permission-based email follow-up.Check an all-in-one option, including its domain and sender prerequisites, before signing up.
You need more qualified inquiries.Fix the offer or acquisition channel first. A CRM does not create demand.

When a spreadsheet is enough

For one consultant with a small lead list, a spreadsheet can be the better system if it stays current. Use one row per inquiry and keep the following fields visible:

When a CRM earns its place

A CRM becomes useful when it removes a verified coordination or follow-up failure. Test the exact problem before migrating every contact.

ProblemFirst thing to test
Forgotten follow-upsA required next-action date and daily queue review.
Duplicate repliesA visible owner and shared conversation history.
Repeated data entryWhether the required integration is included in the plan you would actually use.
Scattered pages and emailsWhether one tool can handle the specific page and permission-based follow-up you need.

Run a 14-day workflow test

  1. Choose one inquiry source.
  2. Track every relevant inquiry, response, missed action, and booked conversation.
  3. Review open items at the same time each workday.
  4. At day 14, identify the earliest repeated failure.
  5. Keep the spreadsheet if the habit fixed it. Compare a CRM only if a tool can remove the remaining failure.

If you already use a CRM, repair the workflow first. A replacement can carry the same broken process into a new interface.
